Upload & Submit Evidence

1.    Adding Evidence to a Plan

1.1     Go to the yellow "Plans" tab
1.2     Click on a plan, which you can 'Accept' if available, then select an evidence item (or click 'Add Evidence Type' if none available)
1.3     On the right, select the Evidence Type you want to prepare, and enter a short description if required
1.4     Click 'Save'
1.5     Click the Prepare Written Evidence / Prepare / Begin online Test / Answer Questions button (the available option will depend on the evidence type) If you cannot see any of these buttons, contact your assessor , because this would indicate the feature status of your  portfolio is offline and might need to be change to online.
1.6    You can now begin preparing your evidence, and click 'save and close' to save your work.

When using copy and paste for adding Evidence into Ecordia the User should select 'Paste as Plain Text', this way the system will wrap the text to match your browser rather than keeping the line breaks from the original source.

Note: The maximum file size per attachment is 250mb, however, the number of attachments you can upload is unlimited.
 

1.6 You can use the 'Link Evidence' button to reference the Evidence to as many Units as required.
1.7 Once the Evidence has been prepared click 'Submit Now For Assessment'.
1.8 Once your Assessor has assessed the Evidence you will be alerted to the feedback, once you click 'Accept' at the bottom of the Evidence your
progress will be updated.

2.    Adding Additional/Ad-hoc Evidence (without a plan) - subject to centre settings, contact your Centre if you cannot locate this feature

1.1      Go to the green "Evidence" tab
1.2      Click 'Add Evidence Type'
1.3      On the right, select the Evidence Type you want to prepare, and enter a short description if required
1.4      Click 'Save'
1.5      Click the Prepare Written Evidence / Prepare / Begin online Test / Answer Questions button (the available option will depend on the evidence type).
1.6    You can now begin preparing your evidence, and click 'save and close' to save your work.

3.    Submitting Evidence

Your evidence can be submitted for assessment at any time, but once submitted and collected by your assessor you are not able to make any changes to the evidence, unless action is required following assessment.

3.1    Click the 'Submit now for assessment' button.
3.2    A window will appear for you to complete a declaration for the AI and authenticity If you have used any evidence sources and references when preparing your evidence, they can be recorded in the space provided below.

3.3    Once you have completed one of the above options, scroll to the bottom of the page and click 'Submit'. You will now return to the Viewing
    Evidence In Your Portfolio page and the evidence status will be Presented.
3.4    Clicking the 'Undo evidence submission' button would return the evidence to you. However, this button is only available to you until your
    assessor commences assessing this piece of evidence.

Attaching Files to evidence:

4.1        To attach files to your evidence click 'Files'.
4.2 Click 'choose files', to select the file(s) you want to upload

4.3        Click 'Add' to upload the selected file(s), and the X against a file can be used to delete it.
4.4        Click 'Close' when finished.

Note: The maximum file size per attachment is 250mb, however, the number of attachments you can upload is unlimited.

Assessors, Internal Verifiers and Admins can lock uploaded files by toggling the padlock icon.  If a file has been uploaded by a candidate and is then locked, the candidate cannot delete it (file protected from deletion).  This can be used to prevent candidates from deleting files you want to keep for audit purposes.  Files can be locked at any time by clicking 'Files' and toggling the padlock icon from 'file not protected from deletion' to 'file protected from deletion'.

5. Removing Files/Attachments from Evidence

Candidates cannot delete files that have been uploaded by other users, or if the file is locked (locked padlock icon is displayed),  The evidence must also be held by them and the evidence status is Preparing or Action Required.

5.1    Go to the evidence and click 'Files'
5.2    To delete the unwanted attachment(s), click on the X on the right (deleted attachments cannot be stored) 5.3    Click 'Close'
