These instructions are designed for:
External Verifiers, Standards Verifiers and External Quality Assurers, Auditors, Independent Assessors, End Point Assessors) to view the whole Portfolio.
1. Logging in for the first time
1.1 Open your internet browser and type www.ecordia.co.uk in address bar, then press 'Go’. You will now be viewing the Ecordia web page.
1.2 Now click the 'Login' button, at the top of the menu or top right of the screen.
1.3 This will take you to the login screen where you can enter your username and temporary password and click 'Login'.
(Please Note: the password IS case sensitive. ‘Case sensitive’ means that if capital letters are used in the password then the password will not work without them.)
1.4 If this is the first time you have logged in you will be asked to change your password. Simply fill-in the fields on the screen.
Remember: the password is case sensitive, and spaces cannot be used. For example: if 'Tom Thumb' was to be used as a password it should be entered as 'tomthumb', i.e. without the space between the two words.
1.5 Click ‘Change Password’ then ’OK’. You will now be viewing your "Start" page.
2. Accessing Candidate Portfolios
2.1 From your "Dashboard/Start" page, click on the "Candidates" tab.
To view a list of all the Candidates you can access:
i. Set the relationship filter to 'External Verifier'
ii. Tick the "Include Inactive Candidates" box
iii. Click 'Search'.
Using the search criteria you can filter this list further if required. (Contact the Training Centre if you cannot locate a Candidate you require).
2.2 Once you have located the relevant Candidate, use the ‘View Portfolio’ button to open their Portfolio.
2.3 You will now be viewing the Portfolio Front Page. You can return to this page at any time by clicking the ‘Front Page’ menu tab along the right-
hand edge of the Portfolio.
External Verifiers are able to navigate freely throughout the entire Portfolio, and can use the ‘Mark as EV Visited’ button to date stamp pages, leaving an audit trail for future reference.
3. Sampling Units in progress
3.1 Click on the
icon located on the portfolio Front Page (above the selected units) to access a list of all the Unit
parts in the portfolio. Click on the Unit part you would like to sample.
3.2 You will now be viewing the Evidence Summary Sheet for this Unit part, you can use the Next and Previous buttons, top right, to navigate
through the learning parts.
3.3 Click on an item of Evidence to view. When viewing the Evidence you can mark the page as visited by clicking the ‘Mark as EV Visited’ button.
This will help you track which pages within the Portfolio you have viewed. When viewing the Evidence you can see any assessment feedback,
second-line assessment and internal verification feedback at the bottom of the page. Use the ‘Show Plan’ button to view the Plan, or the ‘Go
To Plan’ button will navigate you away from the evidence to view the Plan in full.
3.4 Use the ‘Evidence Summary’ link located under the "Start" tab to return to the Evidence Summary screen (step 3.2).
4. Sampling Completed Units
4.1 Go to the Candidate’s Portfolio Front Page, using the menu tab on the right hand edge of the portfolio. Click on a completed Unit, this will take
you to the Unit Declaration page. Here you can view when the Unit was confirmed as complete, and if Internal Verification has taken place.
4.2 Click on the ‘Evidence Summary’ button to view a list of the learning parts in this Unit.
4.3 Click on the learning part you would like to sample.
4.4 You will now be viewing the Evidence Summary Sheet for this unit part, you can use the Next and Previous buttons, top right, to navigate through
the learning parts.
4.5 Click on an item of Evidence to view. When viewing the Evidence you can mark the page as visited by clicking the ‘Mark as EV Visited’ button.
This will help you track which pages within the Portfolio you have viewed. When viewing the Evidence you can see any assessment feedback,
second line assessment and internal verification feedback at the bottom of the page. Use the ‘Show Plan’ button to view the plan, or the
‘Go To Plan’ button will navigate you away from the Evidence and to view the Plan in full.
4.6 Use the ‘Evidence Summary’ link located under the "Start" tab to return to the Evidence Summary screen (step 4.4).
5. Sampling Evidence across ALL portfolios
5.1 Click on the "Reports" tab along the top of the screen, and select the Evidence Sampling report from the list of Reports .
5.2 Input your search criteria, then click ‘Generate Report’. You will now be viewing your chosen report.
5.3 Click on an item of Evidence to view. When viewing the Evidence you can mark the page as visited by clicking ‘Mark as EV Visited’ button.
This will help you track which pages within the Portfolio you have viewed. When viewing the Evidence you can see any assessment feedback,
second-line assessment and internal verification feedback at the bottom of the page. Use the ‘Show Plan’ button to view the Plan, or the
‘Go To Plan’ button will navigate you away from the Evidence and to view the Plan in full.
5.4 Use the ‘Evidence Sampling’ link located under the "Dashboard/Start " tab to return to the Evidence Sampling report (step 5.3)
6. Additional Functionality
"Messages ", "Reports" and "Resources" tabs are available to EVs/EQAs and SVs. Instructions on how to use these features can be found within ‘Page Help’ when accessing the features.
