For Quality Assurance Coordinators.
You can permanently delete a candidate's account and portfolio from your centre's Ecordia account. This guide explains how, and what happens afterwards.
Important: A deleted candidate and portfolio can't be recovered. Before you delete anyone, export their portfolio, then download the export and check it opens correctly.
Deleting a candidate
- Go to Candidate Search and find the candidate.
- Click View Candidate.
- Click Delete.
- Enter your password to confirm.
What happens next
- All QACs and LSAs at your centre are told about the delete request.
- The deletion starts after 14 days. Until then, you can cancel it by emailing support@ecordia.co.uk.
- If the deletion doesn't complete for any reason, you'll get an Ecordia message explaining what to do.
What deleting a candidate removes
- The candidate's portfolio and personal details.
- The candidate's message history.
- The candidate from all reports.
Messages other users sent to the candidate stay in those users' own sent messages.
After deletion
- No one can access the portfolio again.
- It can take up to 90 days from the start of the deletion for the portfolio and candidate details to be fully removed. During that time they aren't available to you in Ecordia.
- Copies may remain for longer in the backups we keep to recover from a disaster, software error or other data loss.
- We may keep a log recording the name of the deleted portfolio, who asked for it to be deleted, and when.
