Skills Scan & ILP

Either during or following the set-up of a Candidate's Portfolio, the Assessor has the opportunity of completing the Skills Scan with the Candidate.  The Candidate can only access the Skills Scan to complete themselves when their portfolio status is "Set-up", at all other times the skills scan will need to be completed by the Assessor or IQA through their login.

The Skills Scan will help to identify the correct Units for the Candidate through tasks they complete regularly in their day-to-day work and the types of Evidence that they will be able to use to prove their experience, knowledge and skills.

  • Skipping a Skills Scan
  • Completing a skills scan when portfolio status is:
    • Set-up (accessible to candidate)
    • Live (not accessible to candidate)
    • Finalising (not accessible to candidate)
  • Unit selections & Individual Learning Plan

 



 
1.    Skipping a Skills Scan

1.1    Click 'Skip' at the top of the screen, you can now begin the unit selections process and complete the Individual Learning Plan.

2.    Portfolio status is Set-up:

If the Candidate's status is "Set-Up" this would indicate that the Candidate's personal details have been entered on Ecordia, but the Portfolio has not yet been set-up:

2.1    Candidate:

2.1.1        Login to Ecordia
2.1.2        Select the correct Course from the available courses. The available units for the selected course will now be displayed
2.1.3        Against each Unit select whether the activity is performed in your job role  ‘Never’, ‘Sometimes’, ‘Often’ or ‘Always’, and in the spaces provided you can enter relevant details, and also include the types of Evidence available to you.

You do not have to record an answer against every Unit but it is recommended you do to get a good understanding of the types of Evidence
 potentially able to produce and how regularly Unit activities are completed in your day-to-day work. 

2.1.4        Once the Skills Scan is complete click ‘Continue’ at the bottom of the screen, you can now begin making your unit selections and complete your Individual Learning Plan.

2.2    Other users:

2.2.1        Click 'View Portfolio' for the candidate, or if you are the primary assessor you can click on the 'Portfolio Awaiting Set-up' task on your Dashboard.
2.2.2        Select the correct Course from the available courses. The available units for the selected course will now be displayed
2.2.3        Against each Unit select whether the activity is performed by the candidate in their job role  ‘Never’, ‘Sometimes’, ‘Often’ or ‘Always’, and in the spaces provided you can enter relevant details, and also include the types of Evidence available.

2.2.4        Once the Skills Scan is complete click ‘Continue’ at the bottom of the screen, you can now begin making the unit selections and complete the Individual Learning Plan.


3.    Portfolio Status is Live or Finalising:

If the Candidate's portfolio status is "Live" this would indicate that the Portfolio has already been set-up, but you are still able to complete the Skills Scan retrospectively with the Candidate:

3.1 From the Portfolio Front Page click 'Individual Learning Plan'
3.2   Click 'Modify ILP'
3.3 The Skills Scan can then be found in the Learning Plan section of the screen below the Unit selections. Against each Unit select whether the activity is performed in your job role  ‘Never’, ‘Sometimes’, ‘Often’ or ‘Always’, and in the spaces provided you can enter relevant details, and also include the types of Evidence available to you. 

3.4   Once the Skills Scan is complete, scroll to the bottom of the page and click 'Save'

The results of the Skills Scan will be translated into a star-rating against the Unit selections. One star indicates that Unit activities are completed ‘Sometimes’, two stars is ‘Often’ and three stars is ‘Always’. You can now select/modify the Unit selections.
 

4.    Unit Selections

4.1    The results of the Skills Scan will be translated into a star-rating against the Unit selections on the Individual Learning Plan.  One star indicates that Unit activities are completed ‘Sometimes’, two stars is ‘Often’ and three stars is ‘Always’. From here you can now select the Optional Units by ticking the box next to each unit. Mandatory units will often be pre-ticked.
Please note, if units have been recently added to one of the Course Aims, they might not appear straight away, and might take up-to 6 hours.  In this case, log out and back in again using 'Log Out & Remember' then Ctrl+F5 on your keyboard to clear your browser cache.  The new units should then appear.  If this does not work, try accessing the portfolio via a different browser.
4.2    Using the calendar button, you can also set the Target Date for each of the Units, and also ensure the correct Unit Assessor is allocated to the relevant Units.
Please ensure that the dates are within the Start and Completion Dates at the top of the screen. 
4.3  Optional: You can then use the boxes provided to type information relating to the your Initial Assessment, Induction and Review Arrangements.
4.4 Once you are happy with the contents you can click ‘Save’.
4.5    The selected units are now displayed on the Portfolio Front page.
4.6    To view the Individual Learning Plan again click on the ‘Individual Learning Plan’ button located on the Portfolio Front Page.
4.7    To return to your Portfolio, click ‘Back’.
