1. Set Up Portfolio:
Once the 'Add Candidate' process has been completed, the portfolio status is "Set Up".
Users can access the Skills Scan and Individual Learning Plan for the Portfolio. Once the following screens have been completed the Portfolio status will change to "Live".
2. Change Course:
If the wrong course has been selected at Set Up or the course needs to be changed, even at mid-qualification, you can change the course by following the guidance below (no portfolio content will be deleted on returning a portfolio to Set Up):
Note: Depending on your Centre Settings you may need an Quality Assurer at your centre to carry out step 2.2-2.4 below
2.1 If the candidate has made progress, and is being transferred to a similar course, consider whether you should take a copy of the existing evidence table by clicking on the Evidence tab, then copy and paste the table to Word or Excel (Ctrl+A, Ctrl+C). You will then have a copy of the evidence links for use later.
2.2 Go to the Portfolio Front Page click 'Individual Learning Plan'
2.3 Click 'Return to Setup'
2.4 Click 'OK'
You should now be able to select the new Course.
Having changed courses some links to criteria may have been lost, but any evidence or plans saved in the portfolio will still be available. Therefore, you may need to re-link some Evidence, if so:
2.5 The Assessor should go to the item of Evidence and click 'Assess'
2.6 Click 'Link Evidence'
2.7 Link to the criteria accordingly and click 'Finish'
2.8 Click 'Cancel Assessment'.
2.9 Repeat steps 1-4 until all relevant items of Evidence have been linked.
2.10 Go to the Portfolio Front Page and click 'Check Completeness'
2.11 Click 'Check' towards the centre of the following screen, allow the screen to refresh, then 'OK'.
2.12 Return to the Portfolio Front Page and the progress should have updated.
