Administration of Candidates’ passwords can be performed by Users with any of the following roles, however, if the candidate has an email address on their account, the quickest and easiest way to reset a password is for the candidate to click on the 'forgotten password' link on the login page and follow the instructions:
• QAC
• LSA
• Assessor (only if they have a relationship with the Candidate)
• Internal Verifier (only if they have a relationship with the Candidate)
(To perform password administration for all other types of user, see section ‘Password Reset - All Other Users ')
If a User fails to enter their password correctly on eight consecutive occasions their account will be automatically disabled. Users cannot request a new password via the 'Forgotten Password' link on the login page when their account is disabled. An automatic message will be sent to LSA Users detailing the Users whose accounts have been disabled within the last 24 hours.
If there is an email address on the candidates' account:
1. Reset Password feature
1.1 Go to the ‘View Candidate’ page
1.2 Click ‘Reset Password’, and click 'OK' to proceed 1.3 The Ecordia System will now send a link for the candidate to create a new password. Click 'Send' and Ecordia will email the login details to the candidate, the account will even be re-enabled if it has been disabled due to too many failed login attempts.
2. To re-enable a candidate account
2.1 Go to the Candidates tab, search for the relevant Candidate and click 'View Candidate'
2.3 Click 'Modify'
2.4 Check/tick the "Enabled" box located within Account Information next to the Username/Account name.
2.5 Click 'Save'
Note: If the login failure count is reading 8, then the User's account will disable immediately if they attempt to login again and do not provide a correct password. Once the User provides a correct password, and their account is enabled, the login count will return to zero, and the usual eight attempts will be available again.
3. Password Reset manually
Whenever possible we would recommend candidates reset their password themselves via the 'forgotten password' link on the login page. However, this is not possible if there is no email address on their account, (or if the candidate does not receive the reset email) in which case see section 4 below or you can manually reset their password by completing the following steps:
3.1 Go to the Candidates tab, search for the relevant Candidate and click 'View Candidate'
3.2 Click 'Modify'. If there is an email address on the account, you will need to tick remove next to the email and 'Save', then you can 'Modify' again and proceed to the next step.
3.3 Within the "Account Settings" section located at the bottom of the page, input the new password in both the "Password" and "Password Confirm" fields.
3.3 Check/tick the "Enabled" box located within Account Information next to the Username/Account name.
3.4 When resetting a password, to ensure passwords remain confidential, tick/Check the "User must change password" option. This means the next time the User logs in, they will be asked to choose a new password.
3.5 Click 'Save'. Only use the 'Discard' button if you want to exit the page without saving changes.
4. Adding an email address to a candidate account:
4.1 Go to the Candidates tab, search for the relevant Candidate and click 'View Candidate'
4.2 Click 'Modify'
4.3 Within the Contact Emails section of the screen, click the 'More' button then enter a description i.e. Work or Home, then enter the email address.
4.4 Set 'System Messages Allowed' to 'Yes'
4.5 Click 'Save'
