The following table explains what each status means and the activities users can perform, or what you must do for each depending on the item's status. The available buttons will depend on your role and/or relationship to the portfolio.
DRAFT | This item of Evidence links to a Plan you have created which has not yet been submitted to your Assessor for approval. | 'Modify' Using this button you can change the Evidence Type and its Target Presentation Date. 'Link Evidence' This button will enable you to link the Evidence to the appropriate Standards within the course. 'Abandon' This will delete the item of Evidence from the Portfolio. |
PROPOSED | This item of Evidence is linked to a Plan which is not yet active | You will only be able to view this item, because the Plan it links to has not yet been accepted by you; or Approved by your assessor if you created the plan. |
EMPTY | This item of Evidence has not been started but the Plan has been Accepted / Approved | 'Link Evidence' This button will enable you to link the Evidence to the Standards. The links will appear in the ‘Coverage’ table. 'Prepare Written Questions' or 'Answer Questions' Clicking this button will give you access to the text editor so you can enter in your Evidence. Please Note: When using copy and paste for adding evidence into Ecordia the user should select 'Paste as Plain Text', this way the system will wrap the text to match your browser rather than keeping the line breaks from the original source. 'Files' This button will enable you to insert images or upload files without having to provide text. Please Note: the maximum file size per attachment is 250mb, however, the number of attachments you can upload is unlimited. |
PREPARING | This item of Evidence is in the process of being prepared | 'Link Evidence' This button will enable you to link the Evidence to the Standards. The links will appear in the ‘Coverage’ table. 'Prepare Written Questions' or 'Answer Questions' Clicking this button will give you access to the text editor so you can enter in your Evidence. PRESENTED | This Evidence is waiting for assessment. | 'Undo Evidence Submission' This button will recall submitted Evidence, but is only available to you until your Assessor commences assessment |

SECOND-LINE | A part of the Quality Assurance process, some Assessors may require another Assessor to confirm their assessment decisions before submitting them to you.

FEEDBACK | Assessment has been conducted and the feedback is ready for the candidate to read and 'Accept'.
| 'Accept' This button is used to accept the assessment feedback from the Assessor and where 'competent' is the assessment decision, the Evidence will be added to the candidate's progress indicator on their Front Page. If the candidate requires further clarification or wishes to appeal against the assessment decision, do not click 'Accept' and instead they can send a message to the Assessor. The Assessor cannot accept feedback on the candidate's behalf. |
| ASSESSMENT COMPLETE | Positive assessment decision has been accepted | 'Abandon' This button is only available if the evidence is not linked to a completed unit. If any of the units listed in the coverage have been confirmed complete by the assessor, then this button will not be displayed , and the completed units would need to be unconfirmed, or returned to the assessor by the IQA, for the button to be available again. 'Assess' Being new assessment feedback 'Permission Request' Request access from a Quality Assurance Coordinator at you Centre to the evidence for amendment/revision. |
