The following table lists each portfolio status a portfolio will move through, and a brief explanation with links to relevant guides; and how to move the status forwards and back:

 Live

Gateway, In EPA, Onboarding, On-programme (Users have the same access rights when in Gateway as with Live, and you can filter on this portfolio status on the Candidate Search page.)

 Units have been selected.  Plans and evidence can now be added to the portfolio, and units can be confirmed complete when ready 
All units must be confirmed complete by assessor and candidate

 To move back a step:

 Finalising All units have been confirmed complete by the assessor, and the portfolio is ready to submit for final verification

 Final Verification Portfolio has been submitted for final verification

One or more of the folowing will prevent the Primary IQA from approving final verification:

1) Have all units reached 100% complete?

2) Have all Units Completion Declarations been confirmed complete by both assessor and candidate?

3) Has the IQA clicked 'Finish Verification' on all evidence being verified.

4) Is there any negative IQA feedback which has not been confirmed as complete with subsequent 'positive feedback'?

5) The IQA must be the holder of the portfolio. If not, then a QAC can move the status back a step, then forward again which will update the holder.

To move back a step: 

Click 'Not Yet Approved' on portfolio front page.

Available to IQA and QAC

 Certification Final Verification has been completed and approved, and all plans and evidence in the portfolio are now 'ready only' 
Click 'Portfolio Certified' on portfolio front page.

To move back a step: 

Click 'Undo Final Verification' on portfolio front page.

Note; the completion date will not be cleared, but will be over-written the next time Approve Final Verification is clicked.

 Complete Certificate has been claimed.  It is recommended candidate and centre export a copy of the portfolio to store on static media See Manage Learning Status

Available to Quality Assurers only

(Achiever Status (pass, merit etc), withdrawn: Users have the same access rights when in Gateway as with Live, and you can filter on this portfolio status on the Candidate Search page.)
 Candidate is no longer actively working towards the course.  The portfolio status will return to its previous step if the portfolio is recommenced by the centre.
