When the progress for a unit in a learning aim reaches 100%, the unit assessor (see Individual Learning Plan ) will be notified by system message, and will receive a 'Unit Completion Declaration' task.
Note, once a unit has been confirmed as complete by an assessor, the unit will no longer appear on the Link Evidence screen.
1. Confirming a Unit as Complete
When a unit reaches 100% complete, a Unit Completion Declaration task is generated automatically for the Unit Assessor, who can then confirm the unit as complete, which locks the unit so that no further evidence can be linked or un-linked to the unit; the unit will also cease to appear when linking evidence.
The availability of the 'confirm' button on a unit declaration page is dependent on the workflow step, and the status of any evidence which is linked to the unit.
Note: If you have a Unit Completion Declaration task, but the 'confirm' button is not appearing, then a table listing the evidence which is blocking you from confirming the unit will appear at the bottom of the unit declaration page. The evidence status must be Assessment Complete for all evidence before the unit can be confirmed complete.
1.1 Assessor is the holder - tool tip will read 'NOT CONFIRMED, ASSESSOR CONFIRMATION HELD BY ....' Click on the task to confirm the unit as complete, or defer the unit using the 'Manage Tasks' via More / My Account / Manage Tasks .
Once a unit is confirmed as complete by the assessor, it will move to the candidate for confirmation and no further links from the evidence can be made to the unit.
1.2 Candidate is the holder - tool tip will read 'NOT CONFIRMED, CANDIDATE CONFIRMATION HELD BY ....'
Click on the task to confirm the unit as complete
Once a unit is confirmed as complete by the candidate, it will move to the IQA/Internal Verifier for confirmation.
1.3 IQA/Verifier is the holder - tool tip will read 'NOT CONFIRMED, INTERNAL VERIFIER CONFIRMATION HELD BY ....'
A Unit Completion Declaration task will only be generated if the unit has been marked for sample on the IQA Sampling Plan task to confirm the unit as verified
Once a unit is confirmed as complete by the IQA/Internal Verifier, the unit will be displayed as complete in the selected units on the portfolio front page .
2. Undo a Unit Confirmation
If you need to link to a unit which has been confirmed as complete by the assessor, or you want to change a unit grade, you have the following option depending on who is holding the unit completion declaration (place your cursor over the pen or tick icon for the unit and the tool-tip will detail the current holder):
2.1 Candidate is the holder - Assessor who has confirmed the unit as complete can go to the unit declaration by clicking on the pen icon and click 'Undo Confirm'.
2.2 Second line Confirmation - Unqualified Assessor who has confirmed the unit as complete can go to the unit declaration by clicking on the pen icon and click 'Undo Confirm'.
2.3 IQA/Internal Verifier is the holder - either the Assessor, Internal Verifier, or a QAC user for the course, can go to the unit declaration by clicking on the pen icon and click 'Actions Required'.
2.4 Second line IV Confirmation - Unqualified Internal Verifier who has confirmed the unit as complete can go to the unit declaration by clicking on the pen icon and click 'Undo Confirm'.
2.5 Unit is complete - The Internal Verifier, or a QAC user for the course, can go to the unit declaration by clicking on the tick icon, and click 'Undo Confirm' then 'Actions Required'.
3. Manage Units (over-riding the progress calculation)
If a unit is complete before the progress reaches 100% i.e. sufficient evidence, or APEL, RPEL/A the assessor can over-ride the calculation and force the unit to 100% in the portfolio:
3.1 Click on the 'Individual Learning Plan' button on the Portfolio Front Page
3.2 Click 'Manage units'
3.3 Select the Unit to be marked as complete, enter the Completion Date, and any comments if required
3.4 Click 'Complete and Confirm'.
4. Unit progress and Check Completeness (manually update progress)
Every time a candidate accepts assessment feedback the system runs a check completeness on the portfolio which updates the unit, aim and overall progress, and the gap report for the portfolio. During busy periods, when there is heavy load on the server, the system might not be able to perform a completeness check immediately and will schedule the check automatically for later that same day. If the progress on a portfolio is not as you would expect, or if you have made changes to the course configuration, you can perform a check completeness manually on a portfolio:
4.1 Go to the portfolio front page and click 'Check Completeness'
4.2 Click 'Check', then return to the portfolio front page and progress and gap report should be updated
5. How to record APEL/RPL/RPA
5.1 (optional):
5.1.1 Add Evidence in usual way (i.e. certificate or explanation of APEL evidence)
5.1.2 Link to the Unit you wish to APEL
5.1.3 Assess in usual way.
5.2 (recommended):
5.2.1 Click on the 'Individual Learning Plan' button on the Portfolio Front Page
5.2.2 Click 'Manage Units'
5.2.3 Select the Unit to be marked as complete, enter the Completion Date, and any comments if required
5.2.4 Click 'Complete and Confirm'.
The Unit is now locked and no Evidence can be linked to it. The Candidate will now be prompted to confirm the declaration too, then the Internal Verifier for the Portfolio will be alerted that the Unit is ready for verification.
6. Sending unit completion declarations from one user to another
A unit declaration can be forwarded to another assessor, or verifier accordingly, by going to the declaration screen and using the 'Send this Unit Completion to another person for Confirmation' control provided:
6.1 Click on the pen icon for the unit on the Portfolio Front Page
6.2 Use the 'Send this Unit Completion to another person for Confirmation' control to select the user and click 'Send'
